Give each Facebook sales conversation a clear next action with this free lead-tracker spreadsheet template. Record where the conversation began, what the person needs, and when you agreed to follow up. The CSV opens in a spreadsheet app and includes three fictional examples to show how to fill it out.
Download the Facebook lead tracker CSV.
What does the template include?
The file contains 13 columns, three fictional sample rows, and five empty rows. It is a manual worksheet: you enter records, choose dates, and update outcomes yourself. You can add more rows in your spreadsheet. CSV stores plain values; formulas, dropdowns, reminders, formatting, and Facebook connections are features you would configure separately in your chosen software.
Use one row for one active opportunity. Keep the same lead ID when that conversation progresses. If the person starts a separate opportunity later, give it a new opportunity ID and retain the relationship in your business records.
Download and open the tracker
- Click Download the Facebook lead tracker CSV. The file is named facebook-lead-tracker.csv.
- Open the downloaded file in your spreadsheet app. For an app with an import dialog, choose the CSV file, select comma as the separator, and use the first row as column headings. Menu names vary by app and version.
- Confirm that the sheet has 13 columns, from Lead ID through Outcome date. Set the four date columns to a date format your team recognizes; the examples use YYYY-MM-DD.
- Read the three rows whose IDs begin EXAMPLE. They illustrate a resource request, an evaluation, and a completed opportunity. Replace those sample values with your own records before reporting totals.
- Save a working copy in your spreadsheet app's native format if you add formatting or filters. Keep the CSV as a portable starting file.
The blank rows have empty values. The template preselects no status, owner, due date, or follow-up schedule for a new lead. You choose each value from the actual conversation.
What should you enter in every column?
| Column | What to enter | Example |
|---|---|---|
| Lead ID | A stable internal identifier | LEAD-014 |
| First conversation date | Date of the first relevant exchange | 2026-10-14 |
| Source | The first known source; use Unknown when unclear | Profile post |
| Source detail | A short description of the post, resource, or referral | October checklist post |
| Need | The person's stated goal or question | Organize weekly follow-ups |
| Qualification note | The evidence that your offer fits their need | Asked for a weekly review workflow |
| Stage | Current progress, using your chosen definitions | Evaluating |
| Last contact date | Date of the most recent relevant exchange | 2026-10-14 |
| Next action | One concrete agreed step | Send requested comparison |
| Next action date | The agreed date for that step | 2026-10-16 |
| Owner | The person responsible for the next action | Seller A |
| Outcome | Open, Customer, Declined, or Closed | Open |
| Outcome date | Date you confirmed the recorded outcome | 2026-10-20 |
Store identifying details in your appropriate business system and use an internal ID here where practical. Share the worksheet only with people who need it for the work. Keep source descriptions factual and concise.
Choose consistent stages
Start with New conversation, Qualified, Evaluating, Customer, and Closed. These are suggested worksheet values, freely editable in your copy.
- New conversation: a person requests relevant information or starts a relevant exchange. Deliver the requested item and record the question.
- Qualified: you have a specific need and a reasonable basis for fit. Write the qualification reason before changing the stage.
- Evaluating: the person is considering a specific offer. Record the open question and any timing they share.
- Customer: a completed paid transaction is confirmed in your sales records. Link the internal lead ID to the transaction in the appropriate system.
- Closed: the opportunity has ended. Record the outcome and date so the next review accurately reflects active work.
Keep Stage and Outcome consistent. For an evaluating conversation, Stage can be Evaluating and Outcome Open. After a confirmed purchase, set both to Customer and enter the outcome date. The qualification checklist helps you decide when a conversation has a relevant fit.
Run a daily follow-up review
- Open your working copy and select the full table, including all 13 columns.
- Use your spreadsheet's filter control to show Outcome = Open.
- Review Next action date for today and earlier dates. Review blank dates separately and record a date only when there is a useful next step.
- Read the original conversation before sending anything. Update the record if the person has already replied or changed their preference.
- Complete the agreed action. Update Last contact date, Next action, and Next action date together, or record the completed outcome.
A due date is a review prompt. You review dates here and send messages yourself in your messaging tools. Use the Messenger follow-up examples to write a relevant response to the actual conversation.
Worked example: a requested checklist
Suppose a person asks for a checklist after reading your Facebook post. Create LEAD-014 with Source Profile post, Stage New conversation, and Outcome Open. Enter Deliver requested checklist as the next action.
After delivering it, the person asks to discuss organizing weekly follow-ups on Friday. Record their stated need, the agreed Friday date, and Discuss weekly follow-up process as the next action. Change the stage when you have the evidence for that stage. This example demonstrates recordkeeping; it represents an illustrative conversation rather than a customer result.
Fix common spreadsheet issues
Everything appears in one column. Reimport the original CSV and choose comma as the separator. The supplied file has 13 columns. Confirm that commas are being interpreted as separators before completing the import.
Dates sort in an unexpected order. Set all entries in a date column to a consistent format and confirm the spreadsheet recognizes them as dates. Sort the entire table by that column so every lead's fields stay together.
A conversation appears twice. Compare the internal lead ID and the actual opportunity. Consolidate duplicate records after preserving useful notes and dates. Keep genuinely separate opportunities distinct.
Samples appear in your lead totals. Filter for IDs beginning EXAMPLE and replace or remove those fictional rows in your working copy. Count your actual opportunities using one consistent rule.
A reminder did not appear. The CSV provides a Next action date column. To receive a notification, create a reminder in your chosen calendar or contact-management tool and verify its date and time there.
Can I import this CSV into Friender?
Use this file as a standalone planning worksheet. Its columns describe a suggested manual process. For the connected product workflow, use Friender's contact organization guide and CRM workflow guide, which cover contact context, labels, tags, and reminders. A worksheet download does not establish an available product import mapping.
How do I measure results from the tracker?
Choose an observation period and count real inquiries, qualified conversations, and confirmed customers separately. Use the lead ID to reconcile each recorded customer with your sales records. The organic lead measurement guide explains qualification rate, close rate, and acquisition cost with worked calculations.
Start with one current conversation, complete its next-action fields, and use the same definitions for the rest of your records.
